Registration Questions

What comes with a delegate registration?

FSSA members who wish to attend the Annual Forum are considered delegate registrants. Delegate registrants can attend all events listed on the Annual Forum Schedule.

What comes with the spouse/companion registration?

Spouse/companions are invited to attend all social events throughout the Forum, except the First Timer Meeting as that event is for new members only. Spouses are also invited to a special breakfast just for them on Saturday, February 24, 2024 from 10:00 - 11:30 a.m. on the Wigwam Trellis Garden. If you plan to bring your spouse to any event, they will need to register and have a name badge. Registration can be done at the same time as your registration. If you've already registered for the Forum and need to add a Spouse/Companion ticket, email [email protected].

Where do I pick up my registration materials?

You will need to pick up your name badge along with any other materials when you arrive. Your name badge serves as entry to all events, including social activities, and you will not be allowed in without it. The registration desk will be located in The Wigwam Conference Center - Wigwam Ballroom foyer from 12:30 p.m. - 4:30 p.m. on Friday, February 23, 2024. There will also be a temporary registration table at The Wigwam Lawn from 5:30 p.m. - 8:00 p.m. if you need to pick up your badge at the opening receptions.

What do I do if I need to cancel?

Refunds may be issued for cancellations received by January 19, 2024. All cancellations must be in writing, emailed to [email protected] with subject line "FSSA 2024 Forum Cancellation: name of registrant."

Refunds incur the following processing fees which will be deducted from the ticket refund:

  • Delegates/Exhibitors: $150
  • Spouse/Companions: $50

No refunds will be made after January 19, 2024. Hotel, airline, and rental car cancellations must be made by the registrant. FSSA is not responsible for cancellation fees.

Can I transfer my registration if I can no longer attend?

If you are no longer able to attend the Annual Forum you may transfer your registration to someone else in your organization. The request must be made by submitting a registration substitution form no later than January 31, 2024.

Hotel & Travel Questions

Is there a deadline to book my hotel room? How do I make the reservation?

FSSA Forum attendees and Partner Expo participants can book a room at the group rate of $299 per night (plus taxes/fees) while vacancy lasts or until the deadline of January 31, 2024. View information on how to book your room here.

Can I receive the discounted room rate for dates before and/or after the conference?

Yes, the FSSA group rate is available three days pre and post event dates, based on hotel availability or until the January 31, 2024 group rate deadline.

Does the hotel provide complimentary transportation to/from the airport?

No. The resort recommends using a ride-share company or giving the staff of the resort a call at 623-935-3811 to schedule a car service.

What are the driving directions to the hotel? What are the parking fees?

The Wigwam is 25 miles away from Sky Harbor International Airport, which is about a 45-minute drive. Valet and self-parking at The Wigwam are included in the resort charge. Driving directions.

General Questions

How do I get an attendee list?

Approximately 1 week prior to the event, registered attendees and exhibitor representatives can expect to receive an email entitled "Tips For Your Trip." This email will contain the attendee list including name, organization, city, and state in PDF format. Additional registration lists are not available upon request or in any other format.

Can I receive Continuing Education Units (CEUs) for attending the forum?

Yes. FSSA is a NICET recognized training provider. The Annual Forum educational sessions are available for CEU credit. During the Forum, you will have to sign in at the registration desk and after the Forum, you will be emailed a copy of your certificate.

What is the Forum attire?

FSSA Sessions/Social Events: business casual/resort wear is suitable:

  • dress shorts/capris, khaki pants, slacks, blouses, knit tops, collared shirts

Welcome Reception:

  • Resort wear, business casual.

President's Banquet: formal attire:

  • Women: dresses, pantsuits, skirts, and tops
  • Men: suits or coat and tie

We also recommend bringing a sweater or light jacket to the educational sessions, as the conference rooms can get chilly. Don't forget that desert nighttime temperatures typically drop to 43-46°F.

Will there be complimentary Wi-Fi available?

Complimentary high-speed internet is included in guestrooms and public areas of The Wigwam.

Exhibitor Questions

What is included in my registration?

  • Admittance for one (1) expo representative. This includes admittance to the expo and all Forum food functions, receptions and social activities (optional Friday activities require additional costs). Additional partner expo representatives are $650 each ($800 after January 15, 2024).
  • One (1) six-foot draped table with two (2) chairs and a wastebasket (All displays must fit within designated space.)
  • Complimentary electricity
  • *Business listing in the onsite Annual Forum program
  • Listing on the Forum event webpage
  • *Inclusion in the Forum Expo Passport
  • Inclusion in the Forum Exhibitor Welcome Video which will be played in front of all Forum attendees. (FSSA Videographer will record your 30-second plug during set-up time. View the 2023 video.)
  • One (1) attendee list (This list will be emailed to the primary exhibitor representative approximately 1 week prior to the event. It will also be included within the FSSA Annual Forum Tips for Your Trip e-blast. Additional registration lists are not available upon request.)

*Inclusion in printed materials cannot be guaranteed after January 25, 2024.

Where do I find shipping information?

Exhibitors are responsible for all costs and arrangements associated with shipping and receiving of materials. Due to limited storage, packages will be accepted by The Wigwam no earlier than 7 days prior to the start of the event. Current handling fees are as follows and are subject to change:

  • Up to 50 lbs: $5.00 per box
  • Over 50 lbs: $10.00

No shipments or deliveries are to be delivered to The Wigwam Front Desk. Please have shipment tracking information in your possession until all items are received. This will enable the Resort to immediately locate missing shipments.

Outgoing Shipments:

Come prepared with pre-printed return labels. If using a freight carrier, please have three copies of the Bill of Lading. The Resort is not responsible for boxing up outgoing packages.

Can I make changes to the registered exhibitor representatives who will be on site?

Yes. If a registered exhibitor rep is no longer able to attend the Annual Forum, substitution may be requested for another individual. The request must be made by submitting a registration substitution form no later than January 31, 2024. **Transferring of name badges should not be requested on site.**

How do I register additional exhibitor representatives?

Additional exhibitor representative tickets may be added on the online Forum Partner Expo registration form. If you already registered and need to add additional representative tickets, contact FSSA HQ at [email protected]. View pricing.
